The online screens are set up similar to REEF’s paper scanforms. 

Member Contact Information
Upon login, you will be asked to confirm your contact information.  Phone number and email address are required so that we can contact you if we have any questions regarding your data.  If we do not have a phone number or email on file, you will be asked to submit this information.

Demographic and Survey Information
After logging in, you will be asked to enter demographic and survey information first (location, date, survey time, etc.).  All fields are required except the Lat/Lon position.
Latitude/Longitude Position - This is in Degrees Minutes Minutes/100, and the correct format is DD MM.MMM. Please include a zero for Degrees and Minutes less than 10 (e.g. 09)
Geographic Zone Code - In order to submit a survey from a location, REEF must have an 8-digit zone code for the site in our database.  To have a zone code assigned, please contact REEF HQ.

Listed Species
You will then navigate through a series of pages that list the most common species from the region; these are the same species that are listed on the inside of the scanform and are referred to as “Listed Species”. At any time you can jump directly to a particular family/category using the navigation bar on the left.

Unlisted Species
You will then be able to add any additional species. The “Unlisted Species” tool allows you to search by common, scientific and family names or by entering in the specific species code if already known. When using the search tool, you select the species by double-clicking on the name.

Selecting Species
For both listed and unlisted species, you select the appropriate abundance category (S, F, M or A). If you accidentally select a species, you remove the sighting by using the “Clear” button (note that the Clear button will stay checked).

Summary and Error Checking
After you are finished entering all data for a given survey, your entries will be summarized. Please review this summary and confirm that all information is correct. Your fish sightings data will be compared to REEF’s existing data and any rare or new sightings or species that are commonly misidentified will be flagged. You will be asked to confirm these sightings.

Save and Logout
As you progress through the pages (i.e. each time you hit “Next” or “Back”) your work will be saved. Therefore, if you lose your Internet connection or if too much time passes between data entries and you are logged out automatically, you simply need to log back in and the incomplete survey information will be available. Similarly, at any time during data entry you can select the “Logout” button and your work will be saved.

Submit
Once you select “Submit” the survey data will be stored in a permanent file and you will no longer be able to review or edit the file. REEF data management staff will review the data with the standardized quality control programs. The data will then be loaded into the REEF Fish Survey Database and will be available for online summaries. Note that data will not be immediately added to the database.
